Website Enquiry Follow-Up: A Checklist So No Lead Goes Cold

Many small businesses work hard to get website visitors, then lose some of them after the form is sent. The enquiry lands in an inbox nobody checks over the weekend, or the reply goes out days later. A short, written follow-up process fixes most of this.

1. Know where every enquiry comes in

List every entry point: contact form, chat, booking widget, phone, WhatsApp and social messages. Each should land in one shared place with a named owner, not in someone's personal inbox.

2. Keep the form easy to finish

Ask only for the essentials: name, email and what the person needs. Every extra field is a reason to give up. You can ask for detail later, in the conversation.

3. Confirm the message arrived

An automatic reply tells the customer their message arrived, when a person will respond, and one useful next step. Keep it honest: don't promise a response time your team can't meet.

4. Agree who replies, and by when

Set a realistic reply target and track it. If enquiries keep missing it, fix the routing or the staffing rather than dropping the target.

5. Follow up, then stop

If the customer doesn't answer, send one or two polite follow-ups a few days apart, then close the enquiry. Always say who you are and make it easy to opt out.

6. Review it every month

Look at how many enquiries came in, how fast they were answered and how many became calls. Small changes to the form or the first reply often make the biggest difference.
